Terms and Conditions

Before proceeding with your booking, please read the following terms and conditions:

By booking onto the a Active Future activity, you are agreeing to these terms and conditions and take full responsibility for adhering to them.

We reserve the right to update these terms and conditions at any time, please check our website regularly for updates: www.activefuture.info

Bookings

Payment is made via our online booking system on Pebble. For membership fees relating to weekly sessions, your card will be charged after your free taster sessions if you do not let us know that you will not be continuing. This will be a pro-rata payment for the remainder of the month with your monthly membership fee payments being taken from the same card on the 1st of the following month and every month thereafter.

Membership fees are based on a 48-week year, meaning we are closed for the other 4 weeks in the year. You will be notified when the 4 closure weeks are by your area director, please note that 2 of the 4 closure weeks are usually taken over the Christmas period.

For camps, events and block bookings full payment for the provision is required at the time of booking to secure your place.

Refunds and Cancellations

To cancel your child's membership, notice must be given in writing (email/message) to your area director before the end of that month. Your child's membership will then expire at the end of that month. Please note that all fees remain owing even after you have left. If you do not tell us you are leaving your fees will continue to accrue until you notify us your child has left.

If you are unable to make a session, we cannot issue refunds. At the discretion of the area director, and depending on availability, you may be able to join a session in lieu. In the event of adverse local weather, no refunds will be given for sessions missed if the venue is deemed safe and accessible and the session takes place.

We will always inform you of any cancellations giving as much notice as possible. Should a session get cancelled for whatever reason such as coach illness, weather or venue closures you will be offered to attend another suitable session in lieu or refund for that session. Refunds will be processed within 7-10 working days. We reserve the right to change the session time, location, or coach for any reason.

Behavioural Expectations

Our classes should be enjoyable for everyone. If your child is interrupting the smooth running of the class or causing harm or damage to others or the equipment, we ask that you remove them until they are calm enough to resume the class. If we feel a child is being disruptive we will ask them to sit out for a few minutes to compose themselves and then invite them to join the group. Should a child then continue to be disruptive and prevent the rest of the group from learning they will be asked to sit out for longer. In extreme cases, if a child is continually disruptive they will not be allowed to return.

We ask that parents do not coach from the sidelines as this can influence a child’s information processing and hinder their development. We often set group tasks and if a child hears their parent shout different instructions it only confuses them.

We like to feel that we are approachable and if at any time you don’t understand what we are trying to achieve please just ask and we will explain. Should you or your child have any concerns please bring them to our attention as soon as possible and we will do everything we can to help.

Health and Safety

We aim to provide a safe environment at Active Future. Regular risk assessments are undertaken for all of our activities.

Participation in our activities and the use of our equipment is at your own risk.

It is your responsibility to ensure your child is dropped off and collected safely by a parent or guardian from the coach at any of our activities (weekly sessions/camps/events), we will do our upmost to ensure this.

Coaches are first aid trained and always carry a first aid kit.

Illness

Please do not attend a class if you or your child are unwell or are displaying any symptoms of Covid-19. You must not attend if you have a contagious illness including, but not limited to, sickness, diarrhoea, chicken pox, or impetigo. Please take advice from your doctor and be clear of all symptoms for 48 hours before returning. 

Safeguarding

Coaches have completed safeguarding training and have undertaken an Enhanced Disclosure and Barring Services (DBS) check.

We have a responsibility to look out for the welfare of children attending our classes and report any suspicious behaviour to the relevant authorities.

Due to the nature of the sports classes, physical contact may be required between the teacher and your child. This will always be carried out professionally.

If you have any concerns regarding a safeguarding matter, please ensure that you have informed us either in person at a lesson, your area director via email.

Photography and Filming

You must declare if you do not want your child to be photographed for marketing use including use on social media, this is asked on any registration document. You must also keep us up-to-date should this change by contacting your area director

We ask you to refrain from taking photos/videos during the sessions as this may capture other children who are not permitted to be in photos/ videos.

By either visiting the Website, registering for an account, or booking classes, you consent to the collection, use, transfer, and storage of your data per the conditions outlined in the Privacy Policy.

Personal Property

Active Future cannot accept any responsibility for the loss or damage of personal possessions before, during, or after our classes.  

Exclusion of Liability

As Active Future activities operate in a supervised environment and those participating are being active and engaging in play and sports activities, some risk of injury exists.  We do our best to ensure that such a risk is kept to a minimum and are on hand to help at all times. Active Future does not accept any liability for injury, damage, or loss that may occur before, during, or after one of our activities.  

Complaints Procedure

Active Future is committed to providing a high-quality service to its customers. When something goes wrong, please tell us about it to assist us in constantly improving our standards. We always aim to find a prompt and peaceful resolution. Please take your coach aside at the end of class or contact your area director

Your complaint will be investigated promptly and we will call you to discuss and hopefully resolve your complaint. Our response will outline the action taken to investigate the complaint, the conclusions, and the action taken as a result of the complaint.

If any term set out above is later deemed to be invalid or unenforceable, it shall not affect the validity of the remainder of these terms and conditions. 

These terms and conditions consist of an entire agreement between the customer and Active Future.
